One CRM for a trade and investment agency with offices across the US.

Each office kept its own lists. We turned the project tool the agency already paid for into a shared CRM, cleaned and merged the data, and trained the team in three languages.

The situation

Where they started.

Contacts and companies were scattered across offices, spreadsheets and inboxes. The same company existed three times with three spellings, and each office worked its own way.

Leadership had a three-year plan and no single picture of how far along it was.

What we built

The pieces.

01

Shared master records

One record per person and per company, used by every office.

02

Import and clean-up service

Matches, de-duplicates and enriches incoming lists before they touch the CRM.

03

Automatic project boards

When a company joins a project, its board is created and linked without anyone copying it.

04

Training and manual

A 20-page how-to and sessions in English, Spanish and Catalan.

A normal day

How it works now.

  1. A list of 1,500 trade-fair visitors arrives.
  2. The import service matches each person and company to existing records.
  3. New contacts land in the right project; duplicates are merged instead of added.
  4. Leadership reads progress on the plan from the same data the offices use.

In numbers

What it handles.

14,684contacts in one CRM
12,020companies, each with one record
243duplicate records merged

Figures from the live systems, October 2026. Client name withheld.

What’s next

Where it goes from here.

Rolling the model out to more offices and an AI assistant that answers questions from the CRM.
